RideLink Group is a mobile application designed for the management and coordination of group trips. The App allows organizers and participants to create or join trips, communicate through chat, share files and images, use GPX routes, and view the position of group members through Live Tracking features.

2. Data Collected

RideLink Group may collect and process the following categories of data, only to the extent necessary for the features used.

• Identification and profile data: technical user identifier, name or nickname, and other information voluntarily entered when registering for a trip.
• Trip-related data: trips created or joined by the user, participation codes, participant status, and information necessary for group management.
• Location data: precise or approximate geographic location when the user uses features that require GPS, especially Live Tracking during a trip.
• User-generated content: chat messages, photos taken with the camera, images selected from the photo library, shared files, routes, and GPX files.
• Notification data: technical tokens required to send push notifications related, for example, to chat messages or SOS events.
• Technical data: information necessary for the operation, security, diagnostics, and stability of the App.

3. Location, GPS and Live Tracking

RideLink Group uses location data only to provide features that depend on location, such as Live Tracking of participants during a trip.

Before Live Tracking is activated, the user is shown information regarding Privacy and GPS. Location services are started only after the user has expressed consent and granted, when required by the operating system, the necessary permissions to access location data.

During an active trip, location may also be updated when the App is not displayed in the foreground, if this is necessary for Live Tracking and has been authorized by the user through the device settings.

The user may change or revoke location permissions at any time through the iOS or Android settings.

When the trip ends, Live Tracking positions are no longer required for displaying the group and are removed. Any GPS data that may be retained is subject to automatic deletion procedures and is not kept longer than necessary for the operation of the service.

4. Camera, Images and Files

RideLink Group allows users to share content in the chat and in itineraries.

The user may:

• take a photo using the device camera;
• select an image from the photo library;
• select and share files;
• import and use GPX files.

Access to the camera or photo library occurs only when the user voluntarily chooses to use these features and in accordance with the permissions provided by the operating system.

5. Chat and Communications

Participants in the same trip can communicate through the integrated chat.

The chat may contain text messages, images, files, reactions, and automatic system messages related to trip events, such as a participant joining, status changes, SOS events, or the end of the trip.

Chat content is visible to users authorized to participate in the same trip.

6. Purposes of Processing

Data is processed to:

• technically identify the user and manage trip participation;
• create and manage group trips;
• manage organizers and participants;
• provide chat and content sharing;
• provide route and GPX file features;
• provide Live Tracking for authorized participants;
• manage safety and SOS features;
• send notifications related to App functionality;
• ensure security, stability, and proper operation of the service;
• diagnose technical errors and issues;
• provide user support.

7. Legal Basis

The processing of data may be based on the performance of the service requested by the user, consent where required, legitimate interest in the security and proper operation of the service, or any applicable legal obligations.

8. Third-Party Services

RideLink Group uses technical services provided by Google Firebase, including:

• Firebase Authentication;
• Cloud Firestore;
• Firebase Realtime Database;
• Firebase Storage;
• Firebase Cloud Messaging;
• Firebase Crashlytics.

These services are used for technical authentication, data storage and synchronization, Live Tracking, content sharing, notifications, and App diagnostics.

Some mapping and location features may also use Google Maps services.

9. Data Sharing

RideLink Group does not sell users' personal data.

Some data may be processed by technical providers necessary for the operation of the App, such as Google Firebase.

Information shared within a trip, such as name, status, Live Tracking position, messages, images, or files, may be visible to other authorized participants in the same trip according to the features used.

10. Data Retention

Data is retained only for the period necessary to provide the App features, ensure the security of the service, and comply with any applicable legal obligations.

Location information used for Live Tracking is removed when the trip ends, and automatic GPS data cleanup procedures are in place.

Some temporary App content may be subject to automatic deletion after the period defined by the service.

11. Security

Reasonable technical and organizational measures are adopted to protect data, including Firebase security rules for databases and storage, user authentication, and restrictions on access to individual trip data.

However, no computer system or Internet service can guarantee absolute security.

12. User Rights

To the extent provided by applicable law, users may request access, rectification, deletion, restriction, objection, or portability of their personal data.

13. Data Deletion

Users may request deletion of their personal data by contacting the data controller at the email address indicated in this Privacy Policy.

14. Children

RideLink Group is not intended for children under the age of 13. Higher age limits may apply where required by local law.

15. Changes to this Privacy Policy

This Privacy Policy may be updated to reflect changes to the App, the services used, or applicable laws.

The latest version will be published on this page together with the date of the most recent update.
